POSITION: CC2 - Assistant Scheduling Coordinator – Ottawa Children's Festival de la jeunesse
DESIRED CONTRACT TERM: 26 Weeks START DATE: September 28, 2026 END DATE: March 31, 2027
WORK SCHEDULE: 4 business days / 32 hours per week WORK LOCATION:Hybrid: two days/week at downtown office
JOB SUMMARY: This position is funded through Ontario’s Job Creation Partnerships (see more details below). Work with the Artistic Producer, Festival Manager, Education and Outreach Coordinator, and Operations Manager to track and organize information regarding school bookings including school arrival and departure times, and special accommodations; and volunteer coordination, including assisting in scheduling, tracking hours, and confirming volunteer shifts.
RESPONSIBILITIES:
Follow up with confirmed school bookings to confirm travel details, number of people involved, and special accommodations requested including the number of chaperones required and accessibility needs
Coordinate and distribute information to confirmed school groups including Adopt A School sponsored attendees
Organize the collected data into daily itineraries
Research potential outreach events (ex. OCSB MASC Event, Salon du Livre du L’Outaouais)
Track and organize non-school group bookings (ex. birthday parties)
Maintain comprehensive databases with current contact names and information for school and community contacts.
Assist in the creation of a volunteer schedule and tracking student volunteer hours
Confirm volunteer assignments and adapt the schedule to accommodate last-minute adjustments
Aid in communicating relevant information to school-group greeters, volunteer supervisors
Assist in running group activities on site such as school contests and scavenger hunts
All other duties as assigned.
SKILLS and QUALIFICATIONS:
Have training or previous experience in customer serviceand/or special events, experience in the education system is an asset.
Possess strong written and verbal skills; must be a team player.
Able to meet deadlines, perform under pressure and delegate tasks (previous supervisory experience is an asset).
Additional Qualifications Required:
Candidate eligibility for JCP is determined according to the following criteria:
An unemployed job seeker or those employed less than 20 hours per week.
A resident living in Ontario who is legally authorized to work in Canada.
Meet at least 1 of the following criteria:
Has an established Employment Insurance (EI) benefit period.
Previously established an EI benefit period that has ended within the previous 60 months.
Paid employee EI premiums (e.g. Box 18 on the T4) in at least 3 of the last 10 years while earnings have been at least $2000 in each of those years.
NOTE: Persons currently enrolled in full-time academic studies are not eligible for consideration. Those who qualify to establish an Employment Insurance (EI) claim must do so prior to being considered for JCP participation.
Remuneration:
$704 (gross) per week paid biweekly by the Province of Ontario
