Sponsorship Assistant-Ottawa Bluesfest/CityFolk/FOSH

Ottawa Bluesfest is a non-profit charitable organization who puts on world-class music festivals that present international, Canadian, and local artists in downtown Ottawa annually in July and September. Our Sponsorship program works in partnership with over seventy dedicated sponsors. The support of our sponsors is a commitment beyond just products, services, people and financial resources. It’s also how they help bring alive the essence of our festival, the music, the performers, the volunteers. Our sponsors bring fun and engaging experiences to the festival fans.
The Sponsorship Assistant reports to and works with the Director of Sponsorship for the sponsorship program at Ottawa Bluesfest, CityFolk, and the Festival of Small Halls. The Sponsorship assistant is responsible in assisting with administrative duties and servicing the festival sponsors.
We are looking for an individual who is highly motivated, able to work independently, interested in learning new systems, very organized, and committed to enhancing our Sponsorship program.

Key Responsibilities
Administrative
 Correspond with Sponsors to ensure proper branding representation
 Assist with festival marketing campaign, promotions/contesting and ensure sponsors are properly represented and integrated
 Coordinate sponsor signage and visibility on site
 Coordinate sponsor benefits
 Coordinate special events for sponsors
 Coordinate and sell VIP Hospitality Suites on site
 Work with festival volunteers in Hospitality areas
 Coordinate and prepare post event reports for sponsors
 Support Director of Sponsorship with special projects and on site activations
 Ensure sponsors have provided all necessary information and equipment/logistics to be able to be on site at the festival with activation/kiosk
Day to day
 Liaise with festival sponsors
 Sponsor logo approvals on marketing campaign & promotions (print, radio, TV, outdoor, social media, web etc.)
 Tracking of media coverage
 Tracking of social media specific coverage for sponsors

Onsite/Event Coordination
 Assist with Hospitality Suite set up and beverage tabs for sponsors
 Assist with Sponsor activations kiosk;
 Provide support to sponsors on site, troubleshoot day to day operations across all sponsorship program;

Essential Qualifications
 2-3 years administration and project management experience;
 Database management experience;
 Strong organizational skills and ability to prioritize
 Advanced Microsoft Office: Excel, Word, PowerPoint;
 High customer service qualifications
 Excellent written and oral communication skills
 Ability to work independently as well as within a team
 Ability to think creatively and strategically
 Success in multi-tasking in a high pressure environment
 Understand social media platforms
 Knowledge of basic principles of marketing and advertising
 Good judgement, attention to detail, a positive attitude and flexible nature;
Assets
 Event management experience, knowledge of RBC Bluesfest and CityFolk an asset;
 Post-secondary education in administration, fundraising, community development,
marketing an asset;
 Bilingualism an asset.

Work Environment
This position is located at Festival House. During most of the year, regular office hours apply.
Overtime may be required during busy months, (typically May and June) in preparation for
festival launch, special events, and festival operations. For the duration of both festivals, 12-15
hour days are expected, mostly outdoors in all types of weather, with up to 5 km of walking
required on a daily basis.

Start Date: January 8th, 2018
Salary Range: $34,000-$39,000/annual salary (health plan benefits and RRSP plan benefits
available)
