MA1 – Festival Administrative Coordinator

HOURS PER WEEK: 30 (4 days, 7.5 hours per day)

JOB SUMMARY: Provide support on operations and logistics to the festival team.

Office location:  Somerset & Preston

REPORTING:  Reporting to and working directly under the supervision of the Director of Operations.


  • Supporting Director in development of conference and delegate hosting program;
  • Communicating with festival delegates and artist representatives about travel and accommodations logistics;
  • Booking travel;
  • Maintaining databases of travel and hotel information;
  • Making reservations/bookings and maintaining schedules;
  • Filling in paperwork;
  • Organizing and managing materials for festival team;
  • During festival: supporting operations manager
  • Post-festival: organizing and filing festival expenses and revenues; grant-writing support
  • Hours will increase in the few weeks leading up to the festival and during the festival event; time off in lieu is provided for overtime hours worked
  • Other administrative tasks as assigned


  • Excellent organization skills and attention to detail;
  • Excellent communication skills;
  • Excellent interpersonal skills;
  • Conference coordination experience is an asset but not required;
  • Knowledge of Microsoft Office and Google Suite tools including Drive, Word, Docs, Excel, Sheets, and Forms;
  • Driver’s license at G-2 or G level is an asset but not required
