Desired Contract Term: 26 Weeks

Anticipated Start Date:  March 11, 2019 (flexible)

End Date: Approved to the Province of Ontario’s current fiscal year end March 31, 2019.  Desired additional weeks, ending September 6, 2019, is pending the approval of Ottawa Festivals’ fiscal year (2019-2020) JCP program application to the Province.

Job Summary: Responsible for assisting the Programming Department with data entry, administration and logistical needs.  Reports to and works directly under the supervision of the Programming Manager; works directly with Programming Assistant, Accounting Department, Director of Communications, Director of Marketing, Director of Sponsorship, and Director of Operations

Office Location:  Westboro

Job Responsibilities:

  • Assist the Programming department with the administrative and data entry functions related to programming with impeccable accuracy and attention to detail
  • Scan/enter data from a high volume of artist contracts; produce artist contracts using existing template and follow up on countersigning of the agreements
  • Facilitate departmental ticket requests and coordinate delivery
  • Operate office equipment as required: fax, photocopiers, etc.
  • Handle outgoing mail/couriered packages
  • Assist in arranging internal and external meetings as required
  • Ensure consistent messaging of artists’ branding throughout the festival marketing campaign
  • Aid in the execution of new organizational initiatives
  • Ensure confidentiality is maintained at all times
  • Remain cool, calm and collected at all times
  • All other duties as required

  • Impeccable attention to detail and consistency in data entry standards
  • Proven success multi-tasking in a high pressure environment
  • Ability to execute duties efficiently under strict deadlines
  • Ability to work independently as well as within a team
  • Excellent written and oral communication skills
  • Strong interpersonal skills
  • Bilingualism is an asset, but not required
  • Advanced knowledge of MS Office and Google Mail
  • Eligible to participate in Ontario’s Job Creation Partnership (JCP) program by meeting the following criteria:
  1. You are a resident, living in Ontario
  2. You are not a full time student (part time student is allowable)
  3. You are not leaving employment to participate; you can continue with part time work up to 20 hrs/week
  4. You also must meet at least one of the following criteria:
    – Previously employed in Canada in any five of the last ten years and earned income in excess of $2000, OR
    – Previously established a Service Canada Employment Insurance benefit claim: regular benefits within the last three years or maternity/parental within the last five years

What’s offered?

Program participants are offered positions of 30 hours per week (4 days per week) and are provided a payment of $423 per week ($14.10 per hour) by the Province of Ontario.
