Volunteer Coordinator


POSITION: TA1 – Volunteer Coordinator  – Job Creation Partnership (JCP) Employment Program

This position is available through the Ontario Job Creation Partnership Program (OJCP), offered in partnership with Employment Ontario. The OJCP program is designed to provide work experience opportunities to those who have received regular Employment Insurance benefits within the last three years, or to those that received maternity/parental leave Employment Insurance benefits within the last five years. START DATE: January 8, 2018

END DATE: Approved to government fiscal year end March 31, 2018 with the possibility to be approved the full 26 weeks pending Ottawa Festivals’ fiscal year JCP application and approval from the Ministry of Advanced Education and Skills Development; Desired end date: July 6, 2018

JOB SUMMARY: Coordinates all aspects of festival relating to volunteers.

REPORTING: This position reports to the Office Manager


  • Working with the 2018 festival team, determine volunteer needs and roles
  • Develop and/or revise position descriptions for each role
  • Plan how and where to recruit volunteers and posting advertisements
  • Interview volunteers
  • Complete relevant security checks (such as a police check)
  • Plan a volunteer retention and replacement program
  • Evaluate orientation program developing the orientation kit, volunteer handbook and/or introductory programs
  • Conduct an orientation for all new volunteers
  • Provide and/or arrange training as needed to volunteers
  • Conduct performance reviews or evaluations
  • Develop and execute a recognition and reward program for volunteer efforts
  • Review, develop and manage policies, procedures and standards for volunteers
  • Manage volunteer database and records
  • Manage any associated budgets and expenditures
  • Resolve conflict or manage grievances


  • Excellent communication skills
  • Strong interpersonal skills and the ability to deal with a diverse range of people
  • Experience of managing or coordinating projects and volunteers is an asset
  • Empathetic and have the capacity to inspire and motivate others
  • Ability to deal with information in a confidential manner and respond with sensitivity
  • Good organizational skills and the ability to manage a variety of tasks
  • Administrative and computer skills, and an ability to maintain records and produce clear written and oral reports
  • A flexible and non-judgmental approach to people and work.
  • Educational background in one of the following: business and management studies, human resource management, social work, youth and community work is desired.
  • Additional languages is an asset
